Why isn't listing showing on my Roam website?
If the business operator added or updated a product in ATDW and it hasn't appeared on your Roam website yet, this article explains why — and what to do about it.
How Roam imports products from ATDW
Your Roam website automatically syncs with ATDW (Australian Tourism Data Warehouse) every day. But it doesn't pull in every product every time — it only pulls in products that have been updated since Monday of the current week.
Think of it like a daily checklist. Each day, Roam asks ATDW:
"Show me every product that has been updated since this Monday."
If a product hasn't been touched since before that Monday, ATDW won't include it in the reply — and Roam won't see it.
Why "enabling" a product might not be enough
This is the most common reason a product doesn't appear.
When the business operator enables a product in their ATDW dashboard, it may only change a setting inside ATDW — it doesn't always register as an update to the product itself. If ATDW doesn't record a new update date, Roam's daily import won't detect any change, and the product won't come through.
What actually triggers a product to flow through: Any real edit to the product in ATDW — such as adding or updating a photo, editing the description, or changing a category. This causes ATDW to record a new update date, which Roam picks up in the next daily import.
Common scenarios
The business operator enabled the product but didn't edit anything else The product may not have received a new update date in ATDW. Try making a small edit — such as adding a photo or tweaking the description — and check again the following day.
The business operator made an edit, but the product still hasn't appeared. Check the timing. If the edit happened on, say, Wednesday, the product should appear from Thursday onwards. However, once the following Monday arrives, the window resets — so if the product wasn't caught between Wednesday and Sunday, it may fall out of the import window again until another edit is made.
The product exists in ATDW but has never appeared on your site This can happen if the product's category, state, or other details don't match the filters configured for your Roam site. Contact the Roam team to investigate.
A worked example
Here's how the timing plays out in practice.

Now here's where it can go wrong:

| Mon 14 Apr | ⚠️ The window resets. Roam now looks for products updated on or after 14 Apr. Their 9 Apr update is now too old. The product goes invisible again. |
In this case, making another small edit to the product in ATDW on or after 14 Apr will give it a fresh update date and bring it through the next day.
How to get a product to appear straight away
If you need a product to appear urgently, contact the Roam team at support@roamhq.io. We can run a manual import with an extended date range, which will catch products that fell outside the normal weekly window.

If a product still isn't appearing after making an edit and waiting 24 hours, it's worth checking with ATDW directly to confirm whether the changes registered an updated date on their system. You can ask them:
"When I enable or edit a product in my ATDW dashboard, does that update the product's date on the ATDW API?"
This helps confirm whether the change will be picked up in Roam's next daily import.

Common questions
- Does my site pull in every product from ATDW? No — each Roam site is configured individually to pull only products that are relevant to your region. The filters available are state, category, area, tourism organisation, and a postcode-based region filter. Your site uses whichever combination makes sense for your brief. An unset filter doesn't exclude anything — it just means that field isn't used to narrow the results. This is why some products appear on broader state-level sites but not yours (e.g. Visit Victoria, see below).
- A product is showing on Visit Victoria but not on my site — why? This is expected behaviour and doesn't indicate a problem. A state-level site like Visit Victoria is built to capture everything across an entire state — it casts a very wide net. Your Roam site is built to capture only what's relevant to your specific region, using filters that match your brief. If a product appears on a state site but not yours, it almost always means the product doesn't match your site's configured filters — for example, it may be in the wrong category or outside your region. Contact the Roam team if you believe a product should be included and we'll check the filter configuration.
- I've just created a brand new product in ATDW — will it appear automatically? Brand new products generally do appear quickly, within a day or two. When a product is first created, ATDW most likely stamps it with today's date, which puts it inside the current import window. As long as it matches your site's filters, it should come through in the next daily import. If a brand new product hasn't appeared after 24 hours, the most likely cause is a filter mismatch rather than a timing issue — contact the Roam team and we'll investigate.
